Payment, Travel, and Cancellation Policies
Is there a fee for the consultation?
No. Initial consultations are free, and there is no obligation to proceed with an arrangement afterward.
When is payment due?
After the consultation, Private Kinship will provide a written description of the proposed arrangement and a personalized quote. Unless otherwise stated in the quote, a 50% reservation payment is due when the client accepts the arrangement. The remaining balance is due seven days before services begin.
For arrangements booked fewer than seven days in advance, full payment may be required at the time of booking. An arrangement is not confirmed until the required payment has been received.
Are travel expenses included?
Any anticipated travel expenses will be included in the written quote provided before the client agrees to proceed. Depending on the arrangement, these expenses may include transportation, lodging, parking, admission, or other necessary costs.
Private Kinship will not add travel expenses after an arrangement has been accepted unless the client requests a change that creates additional costs and approves those costs in advance.
Certain travel or third-party expenses may become nonrefundable once reservations or purchases have been made.
Are reservation payments or deposits required?
A reservation payment may be required to confirm an arrangement. Unless otherwise stated, this payment will equal 50% of the quoted price and will be applied toward the total cost.
The reservation payment reflects the time reserved for the participant and the preparation involved in creating the arrangement. Its refundability depends on when the client cancels and whether Private Kinship has already incurred nonrecoverable expenses.
What happens if I need to cancel?
Unless different terms are included in the written quote:
Cancellations made at least seven days before the scheduled service are eligible for a refund, minus any travel, admission, preparation, or third-party expenses that have already been incurred and cannot be recovered.
Cancellations made between 72 hours and seven days before the scheduled service are eligible for a refund of 50% of the service price, minus any nonrecoverable third-party expenses.
Cancellations made fewer than 72 hours before the scheduled service are normally nonrefundable.
Private Kinship recognizes that emergencies and exceptional circumstances occur. Clients are encouraged to contact us as soon as possible, and requests for an exception may be considered individually.
Is unused time refundable?
Participants reserve the agreed-upon time specifically for the client. If a client arrives late, leaves early, or chooses not to use all the reserved time, the unused portion is normally not refundable.
If Private Kinship or a participant ends a meeting early for reasons not caused by the client’s conduct or a safety concern, the client will receive a prorated refund for the portion of the service that was not provided.
What if the selected participant becomes unavailable?
Private Kinship will never substitute another participant without the client’s knowledge and agreement. If the selected participant becomes unavailable, the client may choose among:
Considering another proposed participant;
Rescheduling the arrangement; or
Receiving a refund for the affected service.
If Private Kinship must cancel an arrangement and the client does not wish to reschedule, payments for the affected service will be refunded.
When will a refund be issued?
Approved refunds will generally be initiated within 10 business days. The time required for the funds to appear may depend on the client’s bank or payment provider.
